Moving a home takes a day and then you unpack at your own pace. An office relocation doesn't allow that luxury – every day without working computers, phones and access to files costs revenue and patience. Košice and Prešov host a growing number of international companies, shared service centres and IT firms, and many of them move offices as they grow. The good news is that even a sizeable office can be moved over a weekend so the team is working normally on Monday morning. What you need is a plan. Here's ours.
Office relocation timeline
| When | Task | Owner |
|---|---|---|
| 8–6 weeks before | Appoint a coordinator, budget, date, notice on the old lease, floor plan of the new office | Management |
| 6–4 weeks before | Site survey and quote from movers, IT plan (internet, network, phones) | Coordinator + IT |
| 4–2 weeks before | Inventory, archive sorting, boxes ordered, desk layout agreed | Whole team |
| 2–1 weeks before | Notify clients and suppliers, label furniture, pack archives | Coordinator |
| Last working day | Everyone packs their desk, IT disconnects equipment | Staff + IT |
| Saturday | Move, furniture assembly, equipment reconnected | Movers + IT |
| Monday | Checks, small adjustments, handover of the old premises | Coordinator |
Step 1: Appoint a coordinator and take inventory
An office move needs one person who has the full picture and talks to the movers, the landlord and IT. It doesn't need to be the managing director – often it's the office manager or an assistant. What matters is that they can make decisions. In international teams it helps if the coordinator is comfortable in both English and Slovak, since landlords, building managers and utilities often work in Slovak.
The coordinator's first task is an inventory: what moves, what stays, what gets thrown out. Old furniture, dead printers and redundant files shouldn't cost you transport. Anything you don't need we can take to the recycling yard as part of a clearance job – often on the same day as the move.
Step 2: Labelling by floor plan
The biggest delays in office moves don't come from carrying – they come from the question "where does this go?". The fix is a simple system:
- Every room in the new office gets a number or colour, marked on the floor plan.
- Every workstation gets a code (for example 2-05 = room 2, desk 5).
- Everything that belongs to that workstation – desk, chair, pedestal, boxes, equipment – gets a label with the same code.
- Post the floor plan at the entrance of the new office and on each room's door.
The movers know exactly where everything goes without asking, and on Monday everyone finds their things where they expect them.
Step 3: IT and equipment
- Internet and phones: order connectivity for the new premises 4–6 weeks ahead. Installation in a new building can take longer than you'd think.
- Back up data: before disconnecting servers and NAS devices, make a full backup and store it away from the equipment being moved.
- Disconnecting and reconnecting: leave this to your IT administrator. We take care of the safe transport – equipment is packed, labelled and protected from knocks.
- Cables: each computer with its peripherals in one labelled box; monitors separately in blankets or original packaging.
Step 4: Archives, documents and GDPR
Files and archive boxes are heavy and numerous. Pack them in smaller boxes (up to 20 kg) and keep the order – number the boxes by shelf. Documents containing personal data should travel in sealed boxes; lockable cabinets can stay locked with the keys kept by you. Documents past their retention period are worth shredding before the move – you'll save space and time.
Step 5: Furniture, safes and heavy equipment
Office furniture – desks, meeting tables, shelving and cabinets – usually needs dismantling and reassembling. We do this routinely as part of the move. Safes, copiers, server racks and heavy machines are priced as heavy items:
| Item weight | Handling on the level, up to 20 m | Per stair |
|---|---|---|
| 80–149 kg | €25 per mover | €1 per stair |
| 150–249 kg | €39 per mover | €1.30 per stair |
| 250–349 kg | €48 per mover | €2 per stair |
| 350–449 kg | €60 per mover | €3 per stair |
Prices excl. VAT, in addition to the standard hourly rate. Items over 450 kg are quoted individually.
What an office move costs
We have three options for businesses. Within Košice and Prešov you only pay the hourly rate; outside the city, mileage is added depending on the option:
| Option | Suitable for | In the city | Outside the city |
|---|---|---|---|
| 3.5 t van + 2 movers | Small office, 1–4 workstations | €50/hour | €50/hour + €0.75/km |
| 3.5 t van + 3 movers | Medium office, 5–12 workstations | €75/hour | €75/hour + €0.95/km |
| 2 × 3.5 t vans + 4 movers | Larger companies, warehouses, premises | €100/hour | €100/hour + €1.50/km |
We issue a standard VAT invoice to businesses; listed prices exclude VAT. Full rates are in our price list.
When to move an office
Recommended
- Saturday – no surcharge, zero downtime
- Friday afternoon + Saturday – pack on Friday, move on Saturday
- Outside month-end and quarter-end closes
- Mid-month – more available dates
Better avoided
- Sundays and public holidays – 50% surcharge
- Night work (20:00–07:00) – 50% surcharge unless necessary
- Year-end – closing and holidays
- Moving during working hours
For premises in shopping centres where daytime work isn't possible, we can move at night – the night surcharge applies.
Common office-move mistakes
- Internet ordered too late – the office has moved but nobody can work. The most expensive mistake of all.
- No floor plan – furniture gets left "somewhere" and the team spends Monday morning rearranging it.
- Desks not packed – if staff don't pack on Friday, packing happens on Saturday at the hourly rate.
- Access not confirmed – loading bays, lifts in office buildings, reception or security at weekends. Agree it with the landlord in advance.
- Moving old furniture that will be thrown out at the new office anyway.
After the move: changing your company address
- Registered office – update it in the Commercial Register or the Trade Register.
- Financial Administration – report the change if it isn't picked up automatically from the register.
- Bank and insurers – new address and, if needed, insurance for the new premises.
- Invoices, contracts and stamps – update templates.
- Website, Google Business Profile and social media – new address, map pin and opening hours. The most frequently forgotten item.
- Clients and suppliers – an email with the new address and parking or access instructions.
Keeping the team informed
Send staff a short plan two weeks ahead: when to pack, what to pack themselves, how boxes are labelled and where their new desk is – in English and Slovak if your team is mixed.
On Monday, a short welcome in the new office and a list of known issues help everyone settle in fast.
Summary
A successful office relocation rests on three things: one coordinator, a clear labelling system and a Saturday move. If IT and internet are sorted early and archives packed into small boxes, most offices in Košice and Prešov can move over a single weekend without a day of downtime.
